What Exactly is a “Prompt”?
A prompt is simply a text instruction or question you type into an AI tool to get a response. Think of it like this:

Step 1: Context — Tell the AI Who You Are
AI doesn’t know anything about you unless you tell it. The more context you provide, the more relevant the response.
Bad Prompt:
“Tell me about GST”
Good Prompt:
“I am a small business owner running a textile trading firm in Surat with annual turnover of Rs. 80 lakhs. Explain GST compliance requirements relevant to my business.”
See the difference? The second prompt gives the AI context about your business type, location, and turnover — so it can give you a tailored answer.
Step 2: Length & Format — Tell the AI How You Want the Answer
Do you want a short summary? A detailed report? A table? Bullet points? Tell the AI. If you don’t specify, the AI will guess — and it may guess wrong.
Step 3: Expectation — State What You Actually Want
Be very specific about the output. Don’t assume the AI will “understand” what you mean.
Vague:
“Help me with income tax”
Specific:
“Calculate the income tax liability for an individual with salary income of Rs. 12,00,000 per annum under both the Old and New Tax Regime for FY 2025-26. Show the comparison in a table.”
Step 4: Audience — Who Will Read This?
The same topic can be explained differently depending on who the reader is. Specify whether it’s for a CA colleague (use technical terms), a client with no accounting background (simple language), or a social media post (engaging and short).
Step 5: Restrictions — Set Boundaries
Tell the AI what NOT to do. Examples: “Do not include any information about the old tax regime”, “Do not use technical jargon”, “Keep the response under 500 words.”

Use Case: You need to send a reminder email to a client about pending documents for ITR filing.
Prompt to Copy:
You are a Chartered Accountant’s office assistant. Draft a polite but firm reminder email to a client named Mr. Rajesh Patel regarding pending documents for Income Tax Return filing for AY 2026-27. The deadline is approaching on 31st July 2026. Create a prioritised Monday morning task checklist for me. If the task is complex, ask the AI to think step by step. Example: “Explain the process of GST registration step by step. Start from eligibility, then documents required, then the online process, and finally post-registration compliance.”

Instead of accepting the first answer, ask for alternatives: “Give me 3 different ways to draft this client communication — one formal, one friendly, and one suitable for WhatsApp.”
Tip 4: Iterate and Refine
Your first prompt doesn’t have to be perfect. Follow up with: “Make this shorter”, “Add more detail to point 3”, “Convert this into a table.” Think of it as a conversation, not a one-time command.
